The Tour Generator creates the ideal tours for the business entity based on the extrapolation of the cleaning time. The Tour Generator can be given various specifications such as special tours, restrictions with regard to the precincts and fixed assignments. The Tour Generator thus forms the starting point for tour planning in Soobr.
Tour Generator
The Tour Generator can be found in the main menu under the Business entity item and there under the Tour window. Each time the Tour Generator window is opened, the basic view shown at the bottom of the print screen is displayed.
On the basic view, the total estimated cleaning time per week is displayed on the business entity. This calculation is based on the extrapolation of cleaning time.
Create tour planning
The following step-by-step instructions show how to create a tour plan using the Tour Generator. The individual elements of the Tour Generator are also described.
Step 1: Create tours
The first step is to create the tours. By default, two tours are displayed on the basic view at the beginning, which share all the areas of the business entity. With the + / - buttons you can set the number of tours that should share the areas.
Special Tours
In addition to the shared tours, special tours can also be created. Special tours are needed, for example, to integrate column tours such as sanitation tours or waste tours into the tour planning or to create precincts that are either shared by several tours or that are permanently assigned to a tour. Special tours can be added via the Add special tours button. This opens the following window in which the special tours can be configured.
Designation: Here you can name the special tour.
Below Designation: Directly below the name of the special tour, you can select which categories are to be covered by the special tour. This is particularly practical for creating the column tours, since here, for example, the category waste can be assigned to a waste tour or the category mechanical floor cleaning to a machine tour.
Floor area: The checkboxes in the Floor precinct area can be used to restrict the floors on which the special tour is to move. This option can be used to map precincts. For example, by restricting the tour to operate only on the 5th floor and the 4th floor, a precinct tour can be created for the 4th floor and the 5th floor. After saving the special tour, the +/- buttons can be used to set how many tours should share this precinct. If only one tour is created in this way, the areas are assigned to it permanently. If two or more tours are selected, then these tours share the precinct.
Cleaning area type: The Area type checkboxes can be used to select which area types are to be covered by the special tour. In this way, it is also possible to create column tours such as sanitary tours, which, for example, should only cover the surface types WC Ladies, WC Men and WC IV.
The above criteria can also be linked. Thus, by selecting the checkboxes »Machine floor cleaning«, »Soobr Tower - 5th floor«, »Soobr Tower - 4th floor« and »WC Men«, »WC Women« and »WC IV«, a special tour can be created that does the machine floor cleaning in the toilets on the 5th floor and 4th floor.
Ranking in the distribution of categories and areas
When a special tour has been created, it is added as a new entry at the top of the base view. The rule here is that the areas and categories are assigned from top to bottom.
In the example below, there is a toilet tour that cleans all toilets in the building and a precinct tour on the 2nd floor. If, as in the example below, the toilet tour is now above the floor tour in the list, the toilets on the 2nd floor will be cleaned by the toilet tour and not by the floor tour. If the order is swapped (via the arrows) and the OG02 tour is pushed above the toilet tour, the cleaning of the toilets on the 2nd floor is done by the precinct tour.
According to this principle, the surfaces and categories are assigned to the tours. All areas and categories that are not assigned to a special tour are done by the special tours at the bottom. The estimated cleaning time is also calculated using the preceding principle. For each special tour, it is calculated how much time it will take, based on the projection for the tasks assigned to it. Finally, for all tasks not covered by the special tours, the shared tours calculate how much time they will take.
Step 2: Set starting areas (not on all economic entities active)
Once the tours are created, the next step of the process can be started by clicking the Set starting areas button. Here you have to set home bases for tours that share areas.
By clicking on the map symbol in the respective tour line, an exit area can be selected in the floor plan on the right side.
As soon as the starting surfaces are set, the surface appears under Starting area. After the initial areas have been set, you can click Complete creation.
Step 3: Complete Creation
Each execution of the Tour Generator creates a new planning version. Provided the business entity is not yet "live" and is not in Learning or Learning has been completed, the newly generated tour version is activated directly. If the business entity is in learning or already live, an inactive tour version is created so that the operation is not affected. If this tour version is to be activated, a corresponding ticket must be entered in Soobr.
Lastly, enter a tour version name. With a click on Create tours the tour planning is finished.
