In Tour management users are able to create and edit cleaning tours.
Create new tour
To create a new tour, click on Business entity in the main menu and then on Tour in the submenu. Then it is necessary to switch to the Tour management tab.
By clicking the + Create new tour button, a window can be opened where the new tour can be configured.
Tour name: The name of the tour can be entered here.
Tourlabel: Here you can specify which name should be displayed in the app. This can be different from the tour name.
No tour duration, Cleaning duration min. and Cleaning duration max.: Normally, the maximum duration of each cleaning tour is defined. With the maximum time (also called max time), the system is told how much work in minutes of the corresponding tour may be scheduled as a maximum. On the one hand, this ensures that the tour does not get more work than it can complete in its contractual working time, and on the other hand, a lower max time can achieve a better distribution of the areas over the week. This can reduce fluctuations in the tour time.
If the tour should not have a maximum working time, the tour can be planned without a maximum time by clicking on the No tour duration checkbox. Caution: Changing the maximum time can have a major impact on tour planning. The effects of such changes should definitely be checked in advance by a simulation.
Cleaning tour type: Here you can specify what kind of tour it is.
- Cleaning tour: A cleaning tour is the default tour used in soobr. Work is scheduled for this tour by the system. This cleaning tour type cannot perform self-cleaning tasks.
- Self cleaning: A self-cleaning tour has the ability to complete work outside of the tasks scheduled by the algorithm and is especially suitable for day tours.
- Teaching: Teaching tours are used for the learning phase of projects, in which the cleaners indicate which tasks they have completed and in which no work is scheduled.
- Overview: Overview tours, on the other hand, show the property manager, for example, which areas are scheduled today across all tours, which are already completed and which are still open. The customer support can set that areas can also be completed via the overview tour.
Notification type: Here you can set how the tours should react to on-demand orders.
- No notification: The cleaner will not receive any notification.
- Direct acceptance: If a cleaner accepts an on-demand job, the job will be removed from the other tours
- Acceptance with consultation: Same than direct acceptance, but a dialog will shown to the cleaner to accept the job
Reload type: Here you can specify whether surfaces can be scheduled into this tour from a substitution while it is running, or whether the tour must first be completed before surfaces can be scheduled (see also In-House substitution).
Release time: If a tour does not complete its tour properly via "End tour" and "Logout", it will be automatically released by the system after 4h.
Tour end release delay: If a tour does not complete its tour properly, the areas planned in the tour are saved for 30 minutes so that a restart of the tour within this period does not lead to any new planning. After this time the tour is considered released by the system. Exception: If a tour ends its current tour by selecting a new tour, the old tour is released directly and the time set for the release delay becomes invalid.
Homebase: Here the starting area of the tour can be set. This function is not visible on all business entities.
Rework allowed: If the check mark is set here, then if a tour could not do something (e.g. because a meeting room was occupied), the next tour can do this work. The tour that performs the rework needs the setting »Rework allowed«.
Rework relevant: If checked here, if a tour could not do something (e.g. because a meeting room was occupied), the next tour can do that work. The tour that records the rework needs the setting »Rework relevant«.
Allow prefer: With this setting, the tour may be scheduled earlier than it becomes ready.
Display selection of services for area: If there is a scheduled cleaning and self-cleaning is active, the cleaner must first perform the scheduled cleaning. If the check mark is set here, the cleaner can decide for himself if he wants to perform the scheduled cleaning or the self-cleaning.
Show tour summary: If this function is active, a note is displayed in the app at the end of the tour if not all surfaces have been completed.
Show tour duration: If this function is active, the estimated tour duration is displayed to the cleaner at the start of the tour.
Show self cleaning without request: This setting displays the self-cleaning tasks from the beginning. This setting is very useful if, for example, it is a pure self-cleaning tour.
App color scheme:
- Standard: If both self-cleaning tasks and scheduled tasks are stored on the surface to be cleaned, App Color Scheme Standard has been set and the self-cleaning tasks are completed, the surface remains red.
- Green after each execution: If "Green after each execution" is set, the surface will turn green after self-cleaning tasks are completed and even greener or darker green after all tasks are completed.
Active configuration
The Active configuration can be used to control when the tour can be active. Normally, this function does not need to be used because it is not important for the system when a tour is executed. However, on business entities with different tours throughout the day, it is necessary to set these parameters so that the planning is triggered even if the tour is not completed correctly.
Mode | Explanation |
Always (default) | Active Configuration is disabled. |
Alert Only | Does not affect the planning. In the future, e.g. team leaders can be notified if the tour is not started in this period. |
Force planning | Outside of the start and end time, the tour is considered "released". The planning can take place. |
Force planning and approval | Outside of the start and end time, the tour will be released. All services of the tour, which are not completed, can be rescheduled by the planning. This has no effect on the displayed tour on the mobile device. |
No planning out of time | This tour is not scheduled outside the time. |
