Soobr offers various ways in which areas can be manually assigned to cleaning tours. Both entire areas and individual categories can be assigned.
Possible assignments
In soobr, it is possible to assign areas in their entirety (complete cleaning) or just individual categories active within the area to one or more tours.
Complete cleaning assignments
Clicking on a single area - either in the view list or on the building plan - opens the assignment window. using this window, all categories for that area can be assigned to one or more tours via the Complete cleaning tick box. If the areas are assigned to multiple tours, the soobr algorithm will decide during the planning process which tour the cleaning will be scheduled for.
Assignment of thorough cleaning and categories
In addition to the complete cleaning, only individual categories can be allocated. There is an exclusivity principle between the complete cleaning and the individual category allocations, i.e. the tour that has the checkmark for the complete cleaning will execute all categories except the one that has been specifically allocated to another tour.
In the example below, Tour 1 and Tour 2 share complete cleaning of the area. As the Machine floor cleaning category is explicitly assigned to the Technical Service tour, the exclusivity principle applies: the Machine floor cleaning category is always scheduled for the Technical Service tour only.
ℹ️ If the exclusivity principle is not required - for example, becuause a category containing self-cleaning tasks is assigned to all tours, meaning that the tour with the complete cleaning assignment would be unable to carry out the self-cleaning - the exclusivity principle can be deactivated via e setting. Customer Support or your Customer Success Manager will be happy to activate this for you.
Allocation via the building plan
Areas can be allocated directly to the corresponding tours by clicking on the building plan. To do this, open the Economic entity item in the main menu and then the Tour window. Now an allocation window can be opened with a click on the corresponding area.
If several areas are to be directly allocated to a tour, the multi-selection can be activated by clicking on the three-dot menu and then clicking on Activate multi-selection.
The edit bar that appears contains two drop-down menus:
Cleaning: In this drop-down menu, you can select wether all categories of the area (the Complete Cleaning Option) or only individual categories are to be assigned.
Tour: In this drop-down menu, you can select which tour or tours the Complete Cleaning or selected categooriers chosen und Cleaning are to be assigned to.
ℹ️ Using the multi-selection function, it is not possible in a single step to assign a complete cleaning to one tour and only a specific category to another tour for the selected areas.
Assignment via the building plan is possible in all views of the Tours tab.
Assignment via the Floor List: Allocation overview
To make an assignment, you can also select one or more areas using the bubbles on the left-hand side. Clicking on a bubble at floor level selects all the areas it contains. Any filters that have been set are also taken into account. So, if you first use the filters to search for the area tye corridor and then click on the bubbles at floor level, all corridors on the relevant floors will be selected.
When areas are selected via the bubbles, the editing bar opens at the bottom of the page, allowing you to assign the area - or even just individual catgories - to the individual tours.
ℹ️ If several areas are selected during assignment via the list view, it is not possible - as is the case with assignment via the building plan and multi-selection - to carry out a full assignment for one tour and a category assignment for another tour in the same step.
Allocation via the Floor List: Allocation per Tour
In the Allocation per tour view, when editng allocations, the edit bar contains different options to those in the edit bar of the Allocation overview.
If one or more areas are selected in the list view, the following drop-down menus with the options listed below are available in the editing bar:
Current tour: This shows which tour the areas have been selected from.
Drop-down menu Operation: This allows you, on the one hand, to delete the assignment for the selected areas (this function is currently unavailable) and, on the other hand, to move assignments, whereby all selected areas (or, if only individual categories are assigned to this tour, then only those individual categories) are moved to one or more other tours. In addition, all selected areas (or, if only individual categories are assigned to this tour, then only those individual categories) can be copied to another tour.
3. Tour Drop-down menu: If Copy or Move has been selected under Operation, the tour to which areas or categories are to be moved or copied must then be selected from the third drop-down menu (to the right of the Operation drop-down menu).
Removing assignments
If existing assignments need to be removed for several areas or entire floors due to rescheduling or an incorrect assignment, this can be done in the Allocation overview.
To do this, select the areas for which the assignmens are to be removed. In the edit bar that apperas, select the option No cleaning from the Cleaning drop-down menu, select the option All tours from the Tours drop-down menu, and then confirm by clicking Save.
If you only need to remove the assignment for a single area, select the area; the assignment window will open. Click on any ticked boxes to remove the ticks, then click Save.
