In addition to the initial creation or new planning of areas using the tour generator, areas can also be manually allocated to existing cleaning tours in Soobr.
Soobr offers various options for manually allocating areas to existing cleaning tours. It is important to note that both entire areas and individual categories can be allocated. These two options are explained below in the section Allocation via the building plan, but they apply to all manual assignments.
Allocation via the building plan
Areas can be allocated directly to the corresponding tours by clicking on the building plan. To do this, open the Business entity item in the main menu and then the Tour window. Now an allocation window can be opened with a click on the corresponding area.
If several surfaces are to be directly allocated to a tour, the multi-selection can be activated by clicking on the (...) symbol and then clicking on Activate multi-selection.
Complete cleaning and allocation of individual categories
Using this allocation window, all categories of this surface can now be allocated to one or more tours via the Complete cleaning checkbox. If the surfaces are allocated to multiple tours, the Soobr algorithm will decide in the planning which tour will perform the cleaning.
In addition to the complete cleaning, only individual categories can be allocated. There is an exclusivity principle between the complete cleaning and the individual category allocations, i.e. the tour that has the checkmark for the complete cleaning will execute all categories except the one that has been specifically allocated to another tour.
In the example below, Tour 1 and Tour 3 would share all categories except the mechanical floor cleaning. The mechanical floor cleaning will in any case be performed by tour 2.
Allocation overview
The allocation overview shows in tabular form the individual floors and areas that are located in the business entity. At the top, using the drop-down menus, it is possible to filter, for example, by area type, specialized areas, allocation, area/sqm, frequency, buildings and floors.
By clicking on the field Show advanced filters, further filters can be evoked. Here you can filter by area in sqm, frequency and floor.
If the check mark for Show projection is activated, the time required to clean the floors or areas on a weekly basis according to the extrapolation is also shown in the right margin.
Now, when the drop-down menus are opened at the floors, various information about the individual areas and their allocation is displayed.
- To the right of the name and the surface type, the abbreviations of the category names indicate which categories of surfaces are currently allocated to a tour.
- Next to it, the highest frequency of all tasks on this surface is displayed.
- In the middle column is the time determined by extrapolation that is needed per week to clean this surface.
- On the right side you can see to which tour the area is allocated. If Select tour is displayed, the area is currently not allocated to any tour. Flexible (2) indicates that the area is allocated to several tours. The number in the parenthesis indicates how many faces have one or more categories from that face. Flexible does not necessarily mean that a face is shared between two or more tours. The algorithm decides which tour will do the cleaning. For example, if a surface is fixed to a tour, but another tour performs only machine floor cleaning on that surface, then the Flexible status would be included here. If there is only one tour name (e.g. Tour 1), then the surface is only allocated to this tour.
To make an allocation, one or more surfaces can be selected on the left side via the bubbles. If you click on the bubble on the floor level, all the surfaces contained in it will be selected. The filters are also taken into account. If you first search for meeting rooms using the filters and then click on the bubbles on the floor level, all meeting rooms on the corresponding floors will be selected.
If now areas are selected via the bubbles, an action bar opens at the bottom of the page, with which the area or only individual categories can be allocated to the individual tours.
Cleaning: In this drop-down menu it can be selected whether all categories of the area (option Complete cleaning) or only individual categories should be allocated (see also above in section Complete cleaning and Allocation of individual categories).
Tour: In this drop-down menu it can be selected to which tour or tours the categories selected under Cleaning should be allocated.
Allocation per tour
In contrast to the Allocation overview view, the Allocation per tour window shows the surfaces broken down by their tour affiliation. If there are surfaces allocated to more than one tour, they will be displayed in both tours. If there are surfaces that are not allocated to a tour, they are displayed in a top entry.
In addition to the information already described above, such as the frequency of the surface or the time required for cleaning on a weekly basis, it also indicates how much time the tour requires per week to clean the surfaces allocated to it. If a surface is allocated to more than one tour, the required time is divided by the number of allocated tours (for more detailed explanations, see the Extrapolation article). In addition, the required time is compared with the maximum duration set for the tour (see also Create and edit tours), and if the required time is higher than the available time, the information is colored red.
At the bottom of the page, you can set how many tours to display per page and scroll to the next page.
If now one or more surfaces are selected via the bubbles, then an action bar opens at the bottom of the page, which offers various options for tour allocation.
Current tour: This shows from which tour areas have been selected.
Operation drop-down menu: On the one hand, this can be used to delete the allocation for the selected areas, on the other hand, allocation can also be moved, whereby all selected areas (if only individual categories are allocated to this tour, then only the individual categories) are moved to one or more other tours. In addition, all selected areas (if only individual categories are allocated to this tour, then only the individual categories) can be copied to another tour.
3rd drop-down menu Tour: If Copy or Move was selected in Operation, then in the third drop-down menu (to the right of the Operation drop-down menu) the tour must still be selected into which the areas or categories are to be moved or copied.
