Cleaning categories are groups in which the individual activity types are logically structured.
Create cleaning category
If the sub-tab Activity types is selected in the main tab Cleaning process, a window opens with a click on + Create new cleaning category, in which the following points are specified:
- Designation: The name of the cleaning category is given here.
- Abbreviation: An abbreviation of the cleaning category is given. This is used in various places in the software.
- Event control deactivated: Here you can specify whether a cleaning category should be sensor-controlled or not.
- May be removed from the cleaning when the cleaning tour is heavily used: If this field is ticked, other categories of this category will be given priority if the daily usage is high and this category can be removed from the tour. This setting is useful for periodic work that can be unscheduled when tours are busy.
- May be planned in by categories without the highest frequency: If frequencies do not have a daily fix, they usually attach themselves to the highest frequency. If this box is checked, the category will be scheduled regardless of the highest frequency over all categories. This can result in the intended frequency of an area type being exceeded, as the outputs (from the cleaning category with this setting) no longer have to be attached to the output with the highest frequency of this area type.
- Allow preference of category: With this setting, the category may be scheduled earlier than it becomes ready. The customer must define per frequency how much earlier (number of hours) this may be. On the app, it is displayed in yellow for tours that are allowed to execute preference, if the category is scheduled earlier.
- Unscheduled performances close after a cleaning: If a normal cleaning has taken place in the category, non scheduled open performances will also be closed. This can pretend double cleanings.
- OR rule number: Cleaning categories can be linked with an OR rule. Of all these cleaning categories, only the one with the lowest frequency appears. The smallest or-rule number assigned here therefore has the highest priority. Categories that are controlled via the OR rule must not have the same frequency stored.
- OR enable rule frequency compliance: If two categories with different OR-rules are ready at the same time, the category with OR-rule 1 is scheduled. Since the other category with OR-rule 2 is also ready, it is scheduled on the following day. This does not always make sense and can be prevented by the "Activate or-rule frequency compliance" setting. Example: Full cleaning (OR-rule 1) and control cleaning (OR-rule 2) are ready on Monday. The full cleaning wins and is scheduled on Monday, the control cleaning takes place at the next cleaning / already on Tuesday, although a control is not yet necessary here. With the cross "Activate or-rule frequency compliance" the control is triggered only 2 days later.
- Category is excluded from qualitycheck: If this option is activated, the cleaning category will be excluded from the quality control tour. The option is useful for categories that cannot be checked, e.g. ventilation.
- Mandatory to conclude: The cleaner can no longer close the area without having checked off all scheduled categories. This can help tasks to be read better and especially periodic categories to be forgotten less.
- Reset when other category was cleaned: This option is used, for example, if sensors are integrated in a category that triggers and there is another category without sensors that serves as a safeguard or makes the other category cleaning superfluous. Example: Category control is set with sensors, full cleaning without sensors. When the full cleaning is triggered, the sensor counter should be reset to 0, respectively the category of the control, otherwise it continues to count, although cleaning has been performed and then comes too early.
- Plan next execution by last planning date: By activating this option, the planning date will always be kept. For example, if cleaning is scheduled weekly on Wednesday, but the cleaner does not arrive until Thursday, the next cleaning will still be scheduled for the following week on Wednesday.
- Respect limited access for activity type or rule: If you have alternating weekly activities that are controlled via the or rule, this setting must be activated by Customer Support.
- Color: Here you can define a color for the cleaning category. If you have the “Color selection” app function activated by Customer Support, your employees can have a specific cleaning category displayed in color on the building plan in the app. For example, the employee can set that all areas where intermediate cleaning is scheduled are highlighted in the color you have defined.
The grayed out options are only available to users with admin rights.
With a subsequent click on Save, the cleaning category is created.
All settings made at the cleaning category level are applied to all area types
on which the cleaning category is active.
Edit cleaning category
To edit an existing cleaning category, click on the corresponding cleaning category in the cleaning process window and in the Activity Types subwindow. The window described above will then open, in which all settings for the category can be changed.
Delete cleaning category
In order to be able to delete a cleaning category at all, all of the activity types recorded in it must first be either deleted or moved to another category. As soon as no activity types are assigned to the category to be deleted, it can be deleted in the Cleaning Process window and then in the Activity Types subwindow. There you have to click on the (...) symbol on the right side for the corresponding cleaning category and select the Delete button.
