Order Management allows you to quickly and efficiently assign unscheduled tasks to cleaning staff. This could involve arranging a post-discharge cleaning at a hospital or scheduling an additional cleaning if coffee has been spilled in a conference room.
Orders can be created in the Cockpit or directly in the Order Management in the app.
Functionality
Orders include services that do not have a frequency and are not triggered by the scheduling algorithm. Orders can be triggered immediately or on a specific due date and are displayed to cleaning staff in the app vie the bell icon for execution.
Settings
In order for orders to be created, triggered, and executed, the following prerequisites must be met:
- Economic Entity: The economic entity must be fully set up; the schedule of service and area types must be created, areas must be active and assigned to an area type, and tours must be created and assigned areas.
- Cleaning Process: Only activity types of the Cleaning without Scheduling and On Demand types can be triggered via order management. These must be created and active on the corresponding area types.
- Tours: For tours, the notification type must be set to Direct Acceptance or Acceptance with consultation.
- Order Management: This feature must be activated by Customer Support or your Customer Success Manager.

Additional Settings
Order management can be further configured for easier handling. The additional settings are listed below, and Customer Support will be happy to activate them for you if needed.
Activate auto-close for waiting orders
If an order with due date is triggered and is not completed by the due date, it will be canceled without being executed if this setting is anabled.
Create order when executing self cleaning
If a cleaning is performed via self-cleaning (cleaning without scheduling), a completed order is created in the Cockpit if this setting is active.
Enable order import function (BETA)
The import function allows you to upload orders to the Cockpit via an Excel import. This is often used when mutiple similar orders need to be created at once to minimize manual effort. The article Import orders explains in detail how to use this additional feature-
Cancel existing import orders during a new import
If there is an open order on an area and a new order is created on the same area via the import, the existing order will be canceled if this setting is enabled.
Activate auto. close for orders on time
If this setting is enabled, all open orders are canceled once a day at a defined time (currently only possible at the end of the day, as of 4/1/2025).
Prevent duplicates in the Waiting status
If this setting is active, there may be only one order in the Waiting status per area and activity type.
Order type filtering
This setting allows you to restrict the level at which an order can be triggered Complete Cleaning, Category, and/or Activity type.
