If a tour is present but cannot fulfil its entire workload due to health restrictions, for example, the surplus tasks can be scheduled for another present tour using the substitution type Present with assistant.
Another possible use is when interns are on duty and are assigned tasks, but the assignments do not need to be adjusted specifically for this purpose.
If a tour is present but some of its tasks are to be taken over by another tour, this can be set up using a substitution template of the type Present with assistant.
To do this, click on the + Create new substitution button in the Substitution configuration level.
In Tour, select the tour that will receive temporary help. In the Designation field, give the template a name. Then select Present with assistant under Type. The settings Visible on tablet and Adjustment of the time allowed must be activated. Then, in the Additional time own tour field, enter your own tour (min) to specify the maximum number of minutes by which the tour should be shortened.
In the settings for substitutes, you can select the tour (or several tours) that the temporary worker will take over and by how many minutes their maximum tour time should be adjusted. Increasing the maximum tour time is not mandatory; if you do not want to increase it, enter zero in the minutes field.
Save stores the template for later use.
Applying the template
In the cleaning tour planning calendar, the substitution template must be stored on the day on which the tour is to be planned with an assistant. To do this, click on the tour entry (if planning with calendar entries) or in the tour column (if planning without calendar entries) and select the appropriate template for the type Present with assistant and for the substitute. In the substitute settings, the box for the tour that the temporary worker is taking over must be activated. The additional time for this tour can be adjusted here if necessary.
For economic entities that use calendar entries for planning, you must select whether the template should be activated only for the selected day or for the entire series of events when saving.
The activated entry is displayed in orange in the calendar. This allows you to see at a glance what type of substitution it is.
If the substitution type has been applied or entered for a simulation, this is shown in orange in the tour trend for both tours. The lower number in the box represents the number of minutes by which the maximum tour duration was adjusted on that day.
