Quality control tours check whether the activity types activated on the respective surfaces have been fulfilled.
Quality control
Creating a new quality control tour
One-off Quality control tours are created in the Quality control menu item under the Quality control tours tab.
Clicking + Create a new quality control tour opens a window.
The tour needs a tour name, just like normal tours. The execution date determines when the tour becomes visible in the app.
Acceptable quality limit (%): This quality limit is used to decide whether the cleaning service is considered to be fulfilled or not. If the acceptable quality limit (AQL) is reached in a quality check, the value is shown in green in the cockpit and in the PDF extract. If it is not achieved, it is shown in red.
If the check mark is placed in Review Notification, the email addresses stored in the system will receive a notification when a quality control tour has been completed by the app.
If you select Remove not rated areas in the result, uninspected areas can be automatically removed from the tour after the inspection is completed. This increases the overview during spontaneous inspections, in which the inspector specifies what must be inspected.
If the Obligatory comment in case of negative evaluation field is selected, the person conducting the tour must enter a comment if he/she rates at least one service as not fulfilled.
If you select Show comment field for cleaning staff, an additional field for a comment to the cleaner will be displayed in the comment window. This comment will then be displayed to the cleaner the next time the area is cleaned.
In addition, you can select whether you only want a General Check or whether the previously created general quality checks should also be added.
After entering the basic data, the configuration mask for the tour appears.
Filter
The filter is used to add the desired areas and service types to the tour. At least one filter must be selected for filtering to be performed. The filtering is executed as soon as Apply filter is selected.
Building | Floor: Only the selected floors will be considered.
Area types: Only the selected area types will be considered in the filter.
Areas: Only the selected surfaces will be considered.
Cleaning categories: Only the selected cleaning categories will be considered.
Cleaning tours: Only services that were performed by these tours on the selected last cleaning date are taken into account.
Area closing: Here you can choose between the following functions:
- Date: Only areas that were completed in the specified period are taken into account.
- Hours back: Only areas that have been completed by a cleaner in the specified hours are taken into account. If, for example, the value 3 is entered, only areas that have been cleaned/confirmed in the last 3 hours are included in the quality control. A maximum of 48 hours is permitted. The weeknd is excluded for 5-day economic entities and therefore Friday's activities are taken into account on Monday.
- Hours back with quality: If this option is selected, the quality control services are also scheduled for inspection in addition to the completed services. In addition to the cleaning services, you can also check services that are not included in the cleaning schedule but should still be checked in certain rooms. Examples of this are ‘Ventilate rooms’ and ‘Technical defects’.
- Quality only: Only services that are not included in the cleaning plan and/or that should be checked specifically and separately are planned. Examples of this are ‘Room is tidy’ and ‘Urinal insert in order’. If this area closure is selected, the filter is deactivated for the cleaning tours.
Number of areas: Max. Number of areas that will be added. If the number is limited by this field, the random generator will decide which surfaces will be selected.
Distribution type: Here you can select whether the surfaces should be distributed randomly, by floors, tours or surface types.
If you check the box including special areas, these will also be scheduled.
Areas
After applying the filter, all possible surfaces are added to the tour. The surfaces can be removed again via the x button in the menu above or via the button with the three dots in the list of areas below.
Important: An activity type of a surface can only be assigned to a quality tour at the same time, which has not been completed yet.
Release
Via Release, the tour can be released for execution so that the tour becomes visible in the app from the execution date. If only saved, the tour remains invisible in the app.
Results
The results can also be displayed in the Quality Control menu item.
