The templates save a selected filter configuration and can be applied automatically or manually. The templates can also be applied via the app (v2). The result is a normal quality tour.
Basic view
Under the Quality control menu item in the Quality control tours tab, navigate to the end of the page to the templates. Templates can be created, applied or deleted here.
To apply or delete a template, click on the 3 dots next to the respective entry.
Create Template
If you click on + Create new template, the following window opens.
As with the cleaning tours, the tour needs a name.
The Auto. Create type filter can be used to set how the template is to be applied:
Automatically Create Type
Type | Function |
Manually | Quality checks can be created manually via the cockpit or the app |
Timing | The quality control is auto. produced or adapted per day at a certain point in time until quality control is completed. |
At launch |
At the start of the tour, the quality control team searches for areas that correspond to the parameters selected when creating the quality control. As a result, a zero is displayed during quality control until the start button is pressed |
Always | The quality control is auto. created or modified every 15 minutes until the quality control has been completed (only possible with already existing Always templates) |
Acceptable quality limit (%): This quality limit is used to decide whether the cleaning activity is considered fulfilled or not. If the acceptable quality limit (AQL) is reached in a quality check, the value is shown in green in the cockpit and in the PDF extract. If it is not achieved, it is shown in red.
If the checkbox for review notification is ticked, the email addresses stored in the system receive a notification when a quality inspection has been completed by the app.
If you tick Remove not rated areas in the result, unchecked areas can be automatically removed from the tour after the inspection has been completed. This improves the overview during spontaneous inspections in which the inspector specifies what needs to be checked.
If the Obligatory comment in case of negative evaluation field is selected, the person carrying out the tour must enter a comment if they assess at least one service as not fulfilled.
If you select Show comment field for cleaning staff, an additional field for a comment to the cleaner is displayed in the comment window. This comment is then displayed to the cleaner the next time the area is cleaned.
You can also select whether you only want a general check or whether the previously created general checks should also be added.
After entering the basic data, the configuration screen for the tour appears.
Filter
The desired areas and activity types are added to the tour via the filter. At least one filter must be selected for filtering to be carried out. Filtering is carried out as soon as Apply filter is selected.
Building | Floor: Only the selected floors are taken into account.
Area types: Only the selected area types are taken into account in the filter.
Areas: Only the selected areas are taken into account.
Cleaning categories: Only the selected cleaning categories are taken into account.
Cleaning tours: Only services performed by these tours on the selected last cleaning date are taken into account.
Area completion: Here you can choose between the following functions
- Date: Only areas that were completed in the specified period are taken into account.
- Hours back: Only areas that have been completed by a cleaner in the specified hours are taken into account. If, for example, the value 3 is entered, only areas that have been cleaned/confirmed in the last 3 hours are included in the quality control. A maximum of 48 hours is permitted. The weekend is excluded for 5-day business units and therefore the services from Friday are taken into account on Monday.
-
Hours back with quality: If this option is selected, the quality control services are also scheduled for inspection in addition to the completed services. In addition to the cleaning services, you can also check services that are not included in the cleaning schedule but should still be checked in certain rooms. Examples of this are ‘Ventilate room’ and ‘Technical defects’.
- Quality only: Only services that are not included in the cleaning plan and/or that should be checked specifically and separately are planned. Examples of this are ‘Room is tidy’ and ‘Urinal insert in order’. If this area closure is selected, the filter for the cleaning tours is deactivated.
Number of areas: Max. Number of areas that can be added. If the number is restricted via this field, the random generator will decide which areas are selected.
Distribution type: Here you can select whether the areas are to be distributed randomly, according to floors, tours or area types.
If you tick the box including special areas, these will also be scheduled.
Areas
After applying the filter, all possible areas are added to the tour.
The areas can be removed again via the x button in the menu at the top or via the button with the three dots in the list of areas at the bottom.
Important: A activity type of an area can only be assigned to one quality tour at a time, which has not yet been completed.
The template is saved by selecting the Save button.
The three-dot menu on the right-hand side of a template can be used to edit, change the filters, delete and copy the template. For templates with the type Manual, an execution can be created there.
