For business entities that do not have explicit activity numbers on the periodic work, it makes sense to have the distribution of the activities over the year created automatically. Otherwise, too many periodic works can occur in one day, because the algorithm cannot include additional work (missing activity number).
Activation
Activation can be done by our Soobr support team. When activating, it is necessary to decide whether the plan will start from the next month or from today. We recommend the activation to the start of the next month.
Overview
In the Fixed monthly/yearly Planning tab, the next calculated cleaning date is displayed for each area for which monthly and/or yearly cleaning is planned.
The Area filter can be used to filter for specific areas, and the Area type filter can be used to filter for areas with this area type.
Change exe4cution date for individual areas
The detailed view can be accessed via the three-dot menu. Here, the cleaning frequency, the activity type and the cleaning data for the next two years are displayed.
If there are different frequencies on the area, all frequencies are displayed with the execution data.
To change an execution date, click the pencil icon.
If you overwrite a highest frequency, the date of execution can be freely selected.
If a date has been overwritten manually, this is indicated by the info symbol:
However, if a lower frequency is overwritten, a selection of possible data is obtained which can be selected for cleaning. These are the cleaning data of the highest frequency.
Clicking Save will apply the change to the execution date.
Changing the execution date for multiple areas
The checkboxes in front of the areas allow you to change the date for multiple areas at the same time. To do this, select the checkboxes for the relevant areas and then select the Overwrite next fixed cleaning button. The following window appears, in which you can select the desired date for the next cleaning.
Important information
- If there are frequencies in a category that are higher than 3 times per month, this category is not taken into account for monthly planning.
- If a cleaning is completed, it will no longer be displayed in this overview.
- A fixed cleaning is only scheduled when the highest frequency is due.
- If necessary, it can be specified for a category that the category may appear independently.
- The data are always visible 2 years in the future. If a service is completed, the future data is generated 1x per week.
- Day restrictions are taken into account in the date calculation.
- If a date is overwritten and then the frequency is adjusted (e.g. 1x per month to 3x per year), overwritten data will be deleted, since a new distribution may have to be performed.
- When creating the fixed cleaning, the last execution is not taken into account. Thus, by chance, in the case of surfaces in the first month, cleaning can occur very shortly after the last cleaning. Unfortunately, we cannot take this into account in the distribution, otherwise we will not be able to perform the optimal distribution.
- The distribution is done per floor and frequency.
- If a scheduled cleaning is not carried out, it will be carried out on the next possible date. If this is not wanted, Customer Support can deactivate it for you.
- As an alternative to the previous point, there is the setting Cleaning tasks that are not performed are moved to the next monthly planning date. With this option, performances are only scheduled on the days specified in the planning list. If a scheduled performance is not performed, it is not rescheduled for another day. It is only rescheduled for the next regular date according to the planning list.
