Upload room book

In the room book, all areas of the economic entity are listed with their size in square meters, the area type and the assigned tours.

The room book can be found in the menu item »Economic entity« under the tab »Building overview«.

1. Download room book (template)

To download the current room book as an Excel file, you must first click on Upload room book.

In the view you can then select the room book of the econmoic entity and download the file by clicking Download current room book.

Alternatively, by clicking on Download room book template, you can download an Excel file that serves as a template for creating the room book.

All cells written in bold are standard fields, which are subsequently checked by the soobr validator. These texts must not be adjusted.

Column	Description
Building name	All buildings in the business entity
Floor name	All floors to the matching buildings
Area name	Name of the area
Room name in place (Optional)	Optional name of the room for the cleaner. If this cell is not filled in, the area name is displayed.
Area size [m2]	Size of the area
Area type	Name of the area type. Skipping / not filling in the area type is possible.
Tour name (Optional)	Name of the cleaning tour. If specified, the route planning will be made on the basis of this column.

Clicking Next will take you to the next step.

2. Upload room book

After you have created or revised the room book, you can upload it in the next step. To do this, click on Select a room book. In the window that opens, you can select the Excel file and upload it.

Then click on Next to proceed to the next step.

3. Validation

In the last step, the room book is checked by soobr for format and completeness. If there are errors in the room book here, a red error message appears at the top and the errors are listed. After the errors have been corrected, the room book can be uploaded again.

In order for a room book to be uploaded, certain conditions must be met.

Condition	Description
Area designation must be unique	An area designation may occur exactly once. Otherwise the system cannot distinguish the areas.
Area type	The name of the area type must correspond exactly to the existing area types or the service specifications. Skipping / not filling in the area type is possible.
Tour name (Optional)	For easy economic entities or for economic entities with one tour per area, the tours can also be uploaded via the room book import. This does not work for multiple assignments. For these business entities, this column must be deleted before uploading.

By clicking on Adjust room book, the new room book is taken over.
